Your new role

Office Receptionist/ Personal Assistant who will provide reception and facility services to our Gdansk office ensuring all employees/visitors/callers are given a positive impression as a result of a prompt, efficient, hospitable and courteous service.

Main responsibilities are:
• General office duties, including coordinating and supervising the work that is performed by suppliers, creating internal and external communication, meeting and greeting visitors and notifying their host of their arrival and receipt and sorting of mail and packages
• Managing day to day planning including facilities and management of floor’s meeting rooms, facilities issues
and monitoring regular facilities works and projects
• Procurement and coordination of stationery, cleaning products, food and beverage etc
• Other administrative activities or projects as assigned by his/her Line Manager
• Will serve as Personal Assistant and will manage calendar and meetings for Head of our company Business Services
• Providing organizational support in local company events

What you'll need to succeed

• Strong skills in Microsoft Office (Word, Excel and Power point)
• Fluent in English and local language with superior communication skills
• Service oriented, articulate and concise
• Willingness to take responsibility and ownership
• Ability to work under pressure and in a high volume environment, whilst remaining forthcoming
• Ability to solve problems and make decisions independently
• Flexible and helpful, practical and “can-do” approach
• Able to use initiative and common sense to solve problems and make decisions
• Experience with preparing presentations, communications and social media desirable
